Customise the identity and communication style of your AI bot: name, company, task, custom prompt, and conversation tone.

BOT IDENTITY

Your bot's identity defines how it presents itself and interacts with your clients. The fundamental settings are:

  • bot_name: The first name used by the bot to introduce itself (e.g. 'Hello, I am Sophie, the virtual assistant of...')
  • bot_company: The name of your institution mentioned in conversations (e.g. 'Artedusa Gallery')
  • bot_task: The bot's main mission, which guides all its interactions (e.g. 'Manage bookings and inform about current exhibitions')

CUSTOM SYSTEM PROMPT

The custom_system_prompt_extra field allows you to inject additional instructions into the bot's system prompt. This text is added to the base directives and deeply influences the assistant's behaviour.

Examples of effective instructions:

  • 'Always mention current temporary exhibitions'
  • 'If the visitor is hesitating, suggest the most popular guided tours'
  • 'Specify opening hours and closing days'
  • 'Address the visitor by their first name when possible'
  • 'In case of a complaint, always apologise and offer an appropriate solution'

COMMUNICATION STYLE

The communication style — tone and register — is not a separate setting: you indicate it in a few words in the bot task (bot_task) or the custom prompt. For example:

For a formal tone: specify 'Use formal address and a professional register'. Suitable for professional contexts. The bot complies while remaining natural.

For a warm tone: specify 'Adopt a friendly and welcoming tone'. Ideal for galleries, museums, or cultural venues open to the public.

Ready-to-copy example: 'Be warm, kind, and welcoming with every caller. Always use formal address, even with regulars.'

A well-configured bot is one that faithfully reflects your brand. Here are some best practices:

  • Choose a memorable bot name consistent with your brand image
  • Write a precise and complete task (bot_task) to guide the bot's behaviour
  • Test different custom prompt styles and refine progressively
  • Include edge cases in your instructions (what to do if the client is unhappy, if a product is out of stock, etc.)
